Life Line Association Malaysia Privacy Notice (“Privacy Notice”)

We, Life Line Association Malaysia (LLAM), as the data controller and data processor (hereinafter referred to as “We”, “Us”, “Our”) are committed to maintaining the confidentiality, security and integrity of the personal data supplied by you as the data subject to us.

In line with the Personal Data Protection Act 2010 (“PDPA”), this Privacy Notice aims to highlight the manner in which we deal with the personal data and the choices available to you to access or limit our access to the personal data.

For the purposes of this Privacy Notice, please note that:

  • “Data subject” refers to any individual who (a) has contacted us through any means to learn more about the services or programmes we provide; or (b) has engaged us for counselling, workshops, training, or other support services; or (c) has signed up as a participant, volunteer, committee or donor with us.
  • “Personal data” refers to data about a data subject that can be used to identify them either (a) solely from that data; or (b) from that data and other information to which we have or are likely to have access.
  • Personal data may also include information of other individuals you disclose to us. You are required to obtain their consent before disclosing such data to us for processing, and by so disclosing, we assume that you have done so in accordance with the PDPA and you will extend a copy of this Privacy Notice to them.

1. Types of personal data collected and processed by us may include, among others, information such as:

  • Name;
  • National Registration Identity Card (NRIC);
  • Contact number;
  • Address;
  • Email address;
  • Image taken from photographs or videos including CCTV footage;
  • Financial information, such as debit/credit card details or bank account information; and
  • Such other relevant information which we may require in order for us to fulfil our legal obligations and to provide you with our services.

Unless stated otherwise in this Privacy Notice, it is necessary for our provision of services that you supply us with the personal data requested by us. If you choose not to supply us with the personal data or withdraw or limit the use of the personal data, we may be unable to provide you with our services that you have engaged us for.

2. We collect personal data for the following purposes:

  • To provide the services or support that you have requested;
  • To verify your identity;
  • To respond to your enquiries, requests application, feedback, or complaints;
  • To manage and maintain your relationship with us;
  • To process payment transactions or donations;
  • To send you information about our services, programmes, events, initiatives, volunteer or donation opportunities, and other activities that we organise;
  • Internal administrative purposes;
  • Investigation of complaints, suspicious transactions and research for service improvement;
  • To comply with legal, regulatory, or governmental requirements; and
  • For such other purposes as are reasonably related to the above, or as you have otherwise consented to.

The personal data collected will be retained by us for as long as necessary to fulfil the Purposes or for the duration as required under Malaysian law, which may extend to periods after your engagement with us has ended.

3. We maintain the security of personal data as follows: 

  • Implementation of administrative and technical measures such as up-to-date antivirus protection, encryption, and privacy filters; and
  • Access to your personal data by our personnel and volunteers is strictly on a need-to-know basis.

4. We will not disclose personal data to a third party, except to the following parties in accordance with the Purposes set out in paragraph 2 above:

  • Our officers, employees, volunteers, service providers, professionals and agents who have been appointed by us to support our operations and the delivery of our services;
  • Any person or governmental authority to whom we are under an obligation to make disclosure under the requirements of any law, rules, regulations, court order, codes of practice or guidelines binding on us including, without limitation, any applicable regulators, governmental bodies, or industry recognised bodies, and where otherwise required by law, whether local or foreign; and
  • To such parties as may be permitted under Malaysian law.

Other than the listed entities, your personal data will not be revealed by us to any other external body unless we have your permission to do so.

5. Cross-Border Transfer of Personal Data

Your personal data may be transferred to countries outside Malaysia where our service providers, partners, or cloud storage systems are located, for the purposes of processing, storage, or support of our services and programmes.

We will ensure that any such cross-border transfers comply with the PDPA and that equivalent personal data protection standards are maintained.

6. Rights and choices

  • You have the right to request access to your personal data held by us.
  • You have the right to request correction or verification of your personal data held by us which is inaccurate, incomplete or not updated. You may do so by writing to us at the contact information below, providing us with the following:

(i) Name; and
(ii) Contact number or other identification materials.

The information above is for us to ascertain your identity as the correct data subject, hence it is your responsibility to keep such information safe. You will be responsible for any action taken by us in response to a request from someone using the information.

  • You may withdraw your consent to our processing or limit our right to process personal data by notice in writing to us, including to prevent usage of your personal data for communications such as awareness programmes, fundraising initiatives, or other updates from us. For avoidance of doubt, the withdrawal or limitation does not include processing of mandatory personal data.
  • You may request that we transfer your personal data directly to another data controller where technically feasible. Such requests must be made in writing to us, and we reserve the right to refuse a request where it is not technically possible or permitted under the PDPA.

We aim to keep your personal data in our records accurate, complete and up-to-date. In accordance with the PDPA, we may refuse to comply with your request for access, correction or portability in certain circumstances as stated in the PDPA. You will be notified of our refusal and reasons behind it.

7. Further Amendments 

Any material amendment to this Privacy Notice will be made available on our website or any other available means as may be appropriate. If you continue to engage our services, you shall be deemed to accept such changes.
